Privacy Policy

Who we are

This website is operated by Adapt by Design Pty Ltd (ABN available on request), based in Perth, Western Australia. Bill Withers is the author and principal of the Succession Thinking framework. For privacy enquiries, contact us at connect@theadaptway.com.

What information we collect

We collect two types of information on this site.

Analytics data. We use Google Analytics 4 (GA4) to understand how visitors use this website. GA4 collects anonymous data including pages visited, time on site, approximate location (country/region), device type, and traffic source. This data does not identify you personally. It is processed by Google under their privacy policy.

Enquiry data. If you submit a retreat registration or enquiry through the form on this site, we collect your name, email address, phone number, and any information you provide in the form. This data is processed through Pipedrive, our CRM platform, and is used solely to respond to your enquiry and manage your registration.

Workbook data. The Succession Thinking workbook is a set of self-reflection activities provided to confirmed Design for Succession retreat cohort members. Access is granted by Bill on a per-email allowlist. To open the workbook, you request an access link to your email and click it; clicking sets a signed authentication cookie that keeps you signed in on that device for 90 days. Your activity responses are saved on your own device by default, in your browser's local storage. They never leave your device unless you explicitly choose to save them. When you choose to save, your responses, a brief summary, and your name are sent to our CRM (Pipedrive). The full responses are also stored in our hosting provider's storage (Netlify Blobs) so you can resume on another device. We retain saved workbook data for 24 months unless you ask us to delete it sooner.

Workbook authentication. Access uses two short technical items: a single-use magic-link token, valid for 15 minutes, that we email when you request access; and a signed cookie named st_workbook_auth, valid for 90 days, that confirms you are signed in. Both are signed using a secret only the server holds. The cookie is HttpOnly, Secure, and SameSite=Lax. Neither item is shared with third parties beyond the email-delivery provider that sends the magic link.

AI-assisted reflection. Some workbook results pages may offer an optional reflection generated using Bill's framework with the help of a third-party large language model. We will only send your responses to that model after you click the explicit "Send me Bill's reflection" button. Reflections are general guidance from the framework. They are not legal, tax, financial, or investment advice. If you do not opt in, none of your responses are sent to a model.

How we use your information

• Analytics data is used to improve the content and usability of this website.
• Enquiry data is used to respond to your submission, confirm retreat availability, and follow up on your interest in the Design For Succession retreat or Bill's speaking and advisory services.
• Workbook data is used to follow up on your responses, to email you a resume link so you can carry on across devices, and (only with your explicit consent) to generate an AI-assisted reflection.
• We do not sell your personal information to third parties.
• We do not use your information for unsolicited marketing beyond what you have indicated interest in by submitting an enquiry or saving a workbook.

Cookies

Google Analytics 4 uses cookies to collect anonymous usage data. These cookies are set by Google and are governed by Google's Privacy Policy. You can opt out of GA4 tracking by using the Google Analytics opt-out browser add-on or by adjusting your browser's cookie settings.

This site does not use advertising cookies, tracking pixels, or any cookies beyond those set by Google Analytics.

Third-party services

This site uses the following third-party services, each governed by their own privacy policies:

• Google Analytics 4: anonymous website analytics. Google Privacy Policy
• Pipedrive: CRM and web form processing for retreat enquiries and workbook saves. Pipedrive Privacy Policy
• Netlify (hosting and Netlify Blobs): site hosting and storage for saved workbook responses. Netlify Privacy Policy
• Resend: transactional email delivery (workbook magic links). Resend Privacy Policy
• Google Fonts: font delivery via Google's CDN. Google Privacy Policy
• AI model provider (to be confirmed): only when you opt in to "Bill's reflection" on a workbook results page, and only for that single request. The provider's name will be confirmed here when this feature is released.

Data retention

Analytics data is retained in Google Analytics for 14 months by default. Enquiry data held in Pipedrive is retained for as long as necessary to manage your enquiry and any resulting engagement, or until you request its deletion. Saved workbook data is retained for 24 months unless you ask us to delete it sooner.

Your rights

Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you have the right to:

• Request access to the personal information we hold about you
• Request correction of inaccurate or incomplete personal information
• Request deletion of your personal information, subject to any legal obligations we may have to retain it

To exercise any of these rights, email us at connect@theadaptway.com. We will respond within 30 days.

You can also remove your in-progress workbook from the device you are using at any time by clicking "Clear my local workbook on this device" on the workbook hub. That action removes the local copy only. To delete cloud-saved copies, please email us.
